Add a line item to an existing recurring template

You can add a line item to an existing recurring template in two ways:

  • Append a line item from a sales transaction to the recurring template via line-item conversion.
  • Add a line item manually.

Changes made to a recurring template apply to transactions created from the recurring template after the changes are made.

Append via line item conversion

Say that you have multiple sales orders that each contain line items that you want to combine into one recurring invoice for a customer. You can convert the first sales order by line item to create the recurring template. You can then add line items from the other sales orders to the same recurring template via the same convert by line process, but using a different set of fields.

You can only convert transactions by line if Enable line-item conversion is set to true in the transaction definition for this transaction type. Learn more about Order Entry transaction definitions.

  1. In the applicable Order Entry transaction type list, find the transaction you want to convert and select Convert by line.

    The transaction appears in Edit mode. If you use Contracts, additional fields for Contract ID and Contract description display in the transaction header. If the line items are part of a contract, you can use these fields to add contract reference information. This can help you identify the transactions created from the recurring template.
  2. Edit any transaction details as desired.

    Changes are saved in the transaction being converted.

  3. On the line item you want to convert, select Show details.

    The Details area displays a Convert by line section.

  4. In the Create recurring template field, select Append to existing template.
  5. Use the Existing template dropdown list to select the desired recurring template. This list only displays recurring templates to which this transaction can be converted.
  6. If you want the schedule for the appended line item to continue past the end of an in-progress template, select the Extend period checkbox.
    For example, you have an existing recurring template that's three months into a 12-month schedule. You want to append a line item to this template to also use the 12-month schedule.
    1. If you select Extend period, the appended line item will run for the entire 12 month. It will also continue for three months after the other line items on the existing schedule end.
    2. If you do not select Extend period, the appended line item will run for nine months and end on the same date as the existing schedule.
  7. If you want the line item sales price to be divided into installments, select the Installment pricing checkbox. Leave this field unchecked if you want Intacct to use the full line item price for each scheduled transaction.
  8. Repeat steps 3 to 7 for each line item you want to convert.

    When you select Post, Intacct sets the transaction state to "Converted by Line". If you do not convert all line items or if you only convert part of a line item at this time, the transaction is not available for further processing, regardless of the partial conversion handling settings on the transaction definition.

  9. Select Post.

View the recurring template

  1. Go to Order Entry > All > Other transaction activity > Recurring transactions.

  2. Find the recurring template in the list.
  3. Select More actionsView at the end of the row.

Add a line item manually

If you add a line item to a template that's in progress, the line item is included for the remainder of the schedule and end when the schedule ends.

  1. Go to Order Entry > All > Other transaction activity > Recurring transactions.

  2. Find the recurring template that you want to add a line item to.
  3. Select Edit at the end of the row.

  4. In the Entries section, add the line items and information as desired. Refer to the Line items tab field table for detailed information on each field.
  5. Select Save.
