Set dashboard permissions

Permissions control who can use a dashboard, and in what ways, for example, whether a user can edit dashboard components. Several types of permissions apply to dashboards:

  • Permissions for dashboards in general, which are set in Company permissions.
  • Permissions to view specific dashboards.
  • Permissions to view and use components on dashboards.

There are some components that everyone can view, such as shortcut links, calendars, and news feeds. Other components require specific permissions.

  • Records: If a component shows data from a type of record that requires permission, the user needs the relevant permission to view the component. Types of records that require permission include accounts, vendors, bills, and invoices. Your administrator sets permissions to view different types of records.
  • Reports: To view a report component, a user needs permission to view the report. The owner of the report sets the permissions to view the report.

If a user does not have permission to at least view a component, they'll see an error or a blank area where the component is located.

Grant general permissions to view dashboards

Users must have this general permission to view dashboards to view specific dashboards to which they have access.

  1. Go to Company > Admin and select either Users or Roles, depending on how your company manages permissions.
  2. Find the user or role and select Subscriptions.
  3. In the Company row, select Permissions.
  4. Find Dashboards and select the appropriate permissions.
  5. Select Save and then select Save again.

Give someone permission to view your dashboard

If you own a dashboard, you can give permission to view it to other users and user groups.

  3. Select Edit at the end of the row.

  4. Go to the Permissions tab.

  6. Select Add.

By default, the setting in the Access rights column is Allow. If you do not want the user to have access to the dashboard, you can select Deny.

  7. Select Save.
  1. Go to Dashboards > All > Dashboards.
  2. Find the dashboard and then select Edit.
  3. Go to the Permissions tab.

  6. Select Save.

Grant permission to view and use components

You must have permissions to view the dashboard and have the permissions to view the dashboard components. For example, you must have permission to view graphs to see a dashboard graph displaying profitability trends.

  1. Go to Company > Admin and select either Users or Roles, depending on how your company manages permissions.
  2. Find the user or role and select Subscriptions.
  3. Find the application that owns the dashboard component and select Permissions.
  4. Set permissions to view, edit, or delete data used by the component.

Unless you expect the user to change the data, you only need to grant view permission.

  5. Select Save.
