Time preferences—Sage Intelligent Time
In time preferences, users can set their notification preferences and the hours they work. If you have the Staff timesheets permission, you can also configure Advanced preferences.
Changes you make are saved automatically.

Time gathering
Time gathering lets you manage the hours of activity that Sage Intelligent Time tracks. It also lets you determine the increment of time you want tracked, your preferences for weekend tracking, and other custom settings related to time tracking.

| Time increment step |
The Time Increment Step is the unit of time that you would like your activity to be tracked by. A smaller increment of time will capture a more granular level of activity; a larger increment of time will deliver a more general accounting of your activities. You can select any increment of time that helps you more accurately track your activity throughout the day. The most commonly used time increment is 15 minutes. In general, use a time increment that makes sense for you and your company needs. |

Use this switch to show or hide weekends on your timesheets. If Default show weekend is ON, you’ll see Saturday and Sunday on your timesheets, and can log time on these days. If Default show weekend is OFF, you will not see Saturday and Sunday on your timesheets, and will not be able to log time on these days. |

Use this switch to display Intacct IDs with the names of Customers, Projects, Tasks, and Items. Set this to OFF if you do not need to see the Intacct IDs for these names. |

Use the slider to set the hours in which your activity is tracked. For example, if you regularly work from 9 AM to 5 PM, drag the left side of the slider to 9 AM and the right side of the slider to 5 PM. SIT does not track any activities you perform outside these hours. Any activity you perform outside of the hours defined here will not be tracked by SIT. However, you can enter this activity manually in SIT if you want to include it on your timesheet.

Overtime
Create and assign overtime rules to employees for payroll and project billing. When an employee clocks in and out of a shift, Sage Intelligent Time records their total work hours and calculates any applicable overtime.

Notifications
Notifications allow you to manage how you receive notifications from SIT.

Timesheet reminders

Time settings
Use Time settings to manage how timesheets are displayed to users, the approvers of timesheets, and accounts for timesheets to the General Ledger.
These fields are read only. An admin can update these settings on the Configure Time page. For more information, go to Configure Time.

If timesheet dates fall within a closed period |
When a user submits a timesheet with dates occurring during a closed period:

Specify the minimum and maximum number of hours required for approval, per weekday or weekend day.
Timesheets that do not meet the specified requirements are rejected. For example, if you specify that 60 hours is the maximum number of hours required for approval, timesheets that exceed 60 hours are rejected.

Select whether to restrict users from entering time or expenses if they are not assigned to the related project or task. By default, the Project and Task dropdown menus on timesheets and expense reports automatically filter for user restrictions. If you select Only users assigned to the project, the Project dropdown menu displays only those projects that the user is assigned to. Have a large number of projects and tasks? Improve performance by waiting until the timesheet or expense report is saved to check for user restrictions. This is true even if user restrictions are set to "Any user." If you select Validate only when the timesheet is saved, all projects and tasks appear as choices when the user is entering time or expenses. When the user saves the timesheet or expense report, their user restrictions are checked to determine submission eligibility.

Timesheet approval setting
Establish an approval process for timesheet entries.
With timesheet approvals, specify who can approve or reject submitted timesheets. Establish up to 5 levels of approvals, which can include approvals by project managers, department managers, employee managers, administrators, and specific users.

If you leave this checkbox cleared, timesheet approvers can view all timesheet entries, including entries for which they are part of the workflow and entries for which they are not. |

The billable and non-billable quantity columns on the Approve Timesheets list include the timesheet's total billable and non-billable hours. This total includes hours for projects that the approver might not be responsible for and, therefore, will not see when they drill down. To avoid confusion, hide these columns on the Approve Timesheets list page. |

Unrestricted users can reject or approve any submitted timesheet. Avoid selecting a user outside of the normal approval levels (1-5), because an unrestricted user's approval overrides all other approval levels. Unrestricted approval is available only for admin users.

Timesheet GL posting
The options in this section enable you to post hours and labor costs in the General Ledger so that you can accurately report on project performance.
For example, you can create an employee utilization report to analyze employee efficiency.

Sync data from Intacct |
There are two ways data syncs between Sage Intacct and Sage Intelligent Time. Some data syncs in real time using triggers. Other data syncs on a schedule every 15 minutes. This section displays how much time has passed after the last sync for data that syncs every 15 minutes. Synchronization is automatic. However, you can select Start sync to start a sync immediately. Select Receive an email alert when a sync is unsuccessful to turn on notifications. When a sync is unsuccessful, all users that have access to the Advanced Preferences page receive an email with an error message for review. If the same error occurs multiple times in a day, you'll receive only one email for that error. |

Sync draft timesheets to the time repository |
Draft timesheets do not appear on the Time Repository page in Intacct automatically. Select Start sync to synchronize all draft timesheets to the Time Repository. |
| Data retention for all employees |
Sage Intelligent Time keeps data from connected time sources to help improve its capabilities and predict how activities are assigned. Reducing the data retention period for your company's users can impact the quality of these predictions and the accuracy and time it takes for your employees to complete their timesheets. On the Time Sources page, employees can choose to retain their data for an equal or shorter amount of time than the maximums set here.

| Require two-step verification for all employees |
Two-step verification adds an extra layer of protection to your account. When this setting is turned on, employees are required to enter both their password and a verification code sent to their mobile device via text message whenever they log in to any Sage Intelligent Time application. When you turn on this setting for the first time, employees are prompted to set up two-step verification the next time they log in. |
