Set a project's costs or billings to complete

You can set a project's costs or billings to complete as of a specific period. Related CFO forecasts are automatically set in WIP schedules so you do not need to enter them manually.

  • If you set a costs complete period for a project, in WIP schedules for that period and subsequent periods the project's costs are set to complete:
    • CFO forecast cost at completion

      This field displays the value from the Job to date costs field.

    • CFO forecast percent complete

      Because job to date costs and CFO forecast cost at completion are the same, this is calculated as 100%.

  • If you set a billings complete period for a project, in WIP schedules for that period and subsequent periods the project's billings are set to complete:
    • CFO forecast contract value

      This field displays the value from the Job to date billings field.

If you set both costs and billings to complete for a project, the project's Job to date overbilled and Job to date underbilled fields show zero.

When you set a costs complete period or a billings complete period for a project, the project is not updated in existing WIP schedules. To update the project in WIP schedules that existed before you set the costs complete period or billings complete period, you can refresh those schedules. Learn more about refreshing a WIP schedule.

Example

You have a WIP schedule project named Building-1, which you've been tracking in WIP schedules since February 2025. WIP schedules exist for each period up to period Month Ended May 2025. You set Month Ended May 2025 as the costs complete period for Building-1.

When you set the costs complete period for Building-1, there are no changes to existing WIP schedules, including the WIP schedule for Month Ended May 2025.

If you refresh the WIP schedule for Month Ended April 2025, Building-1 is not updated to have costs complete because the WIP schedule is for a period before the project's costs complete period.

If you refresh the WIP schedule for Month Ended May 2025, Building-1 is updated to have costs complete in that WIP schedule.

When you create the WIP schedule for Month Ended June 2025, Building-1 is set to have costs complete in that WIP schedule.

  1. Go to Projects > Setup > WIP schedule projects.
  2. Select projects to update.

    If you select a large number of projects, processing can be slow. We recommend selecting fewer than 500 projects at a time.

    You can add project-related columns to the grid to make it easier to filter the list and find projects. Learn how to change the list display, including adding and removing columns.

  3. Do one of the following:

    • Set costs to complete:
      1. Select Complete > Set costs to complete.
      2. Enter the costs complete period (costs will be set to complete as of this period).
      3. Select Save.

        For each selected project, the costs complete period you entered appears in the Costs complete period field.

    • Set billings to complete:
      1. Select Complete > Set billings to complete.
      2. Enter the billings complete period (billings will be set to complete as of this period).
      3. Select Save.

        For each selected project, the billings complete period you entered appears in the Billings complete period field.

    At any time, you can select the following to clear a project's costs complete period or billings complete period so CFO forecasts can be manually changed again:

    Complete > Clear costs complete period

    Complete > Clear billings complete period
